Personal Risk Manager Workflow

  1. Expiration lists will be distributed 135 days out.

  2. PRM will review accounts using the PRM Worksheet
    1. Access client in TAM
    2. Choose Docs
    3. Choose to Add
    4. Choose Formletter
    5. Choose PRM Worksheet from document list
    6. Attach appropriate policy type
    7. Choose OK
    8. Worksheet will merge, then print it.
    9. PRM will use this worksheet to verify coverages and note needs/question for client

3.    PRM will make initial contact with client, either by phone or mail

    1. In TAM, click on CLIENT ACTIVITY
    2. Enter client code
    3. Click on ACTIVITIES
    4. Click on ADD
    5. Select REVW from activity code list
    6. Select appropriate policy type on right
    7. Click OK
    8. In description field, indicate what you reviewed: Auto, Home, Auto/Home, etc
    9. In note field, indicate that you discussed with client.
    10. Activity is CLOSED SUCCESSFULLY
    1. In TAM, click on CLIENT ACTIVITY
    2. Enter client code
    3. Click on ACTIVITIES
    4. Click on ADD
    5. Select PHTI from activity code list
    6. Select appropriate policy type on right
    7. Click OK
    8. In description field, indicate that this was for the Initial Review Call
    9. Who to follow up: enter your code
    10. Days to follow up are 7.
    1. In TAM, click on CLIENT ACTIVITY
    2. Enter client code
    3. Click on DOCS
    4. Click on ADD
    5. Click OK to Formletter
    6. Select appropriate policy on left
    7. Select Personal Lines Folder in Folders box
    8. Select Initial Review Letter in Letters list.
    9. Once the letter is merged, click on File and choose Print
    10. Click on Applied and choose Save & Exit
    11. Highlight the description line and press CTRL + C (copy)
    12. The Add Activity box should be checked
    13. Click OK
    14. Activity box will appear next. Highlight the description line and press CTRL + V (paste) This will paste the description of your letter.
    15. Who to follow up: enter your code
    16. Days to follow up are 7.
    17. Click OK.
4.    Second contact with client.
    1. In TAM, click on CLIENT ACTIVITY
    2. Enter client code
    3. Click on ACTIVITIES
    4. Click on ADD
    5. Select REVW from activity code list
    6. Select appropriate policy type on right
    7. Click OK
    8. In description field, indicate what you reviewed: Auto, Home, Auto/Home, etc
    9. In note field, document suggestions or discussion with client.
    10. Choose to CLOSE the activity, successfully.
    1. Close the initial follow up UNSUCCESSFULLY and choose NO REPLY for the reason. Attempt to contact the client again by phone.
    2. Add PHTI activity. In TAM, click on CLIENT ACTIVITY
    3. Enter client code
    4. Click on ACTIVITIES
    5. Click on ADD
    6. Select PHTI from activity code list
    7. Select appropriate policy type on right
    8. Click OK
    9. In description field, indicate what you reviewed: 2nd contact for Auto, Home, Auto/Home, review
    10. Who to follow up: Enter your code
    11. Follow up for 7 days

 

5.    Third contact with client
    1. In TAM, click on CLIENT ACTIVITY
    2. Enter client code
    3. Click on ACTIVITIES
    4. Click on ADD
    5. Select REVW from activity code list
    6. Select appropriate policy type on right
    7. Click OK
    8. In description field, indicate what you reviewed: Auto, Home, Auto/Home, etc
    9. In note field, document suggestions or discussion with client.
    10. Choose to CLOSE the activity, successfully.
    1. Close the PHTI follow up UNSUCCESSFULLY and choose NO REPLY for the reason.
    2. Click on CLIENT ACTIVITY
    3. Enter client code
    4. Click on DOCS
    5. Click on ADD
    6. Click OK to Formletter
    7. Select appropriate policy on left
    8. Select Personal Lines Folder in Folders box
    9. Select Final Review Letter in Letters list.
    10. Once the letter is merged, complete the letter, adding any suggestions you have for the client.
    11. Click on File and choose Print
    12. Click on Applied and choose Save & Exit
    13. Highlight the description line and press CTRL + C (copy)
    14. The Add Activity box should be checked
    15. Click OK
    16. Activity box will appear next. Highlight the description line and press CTRL + V (paste) This will paste the description of your letter.
    17. Choose to CLOSE the activity
    18. Click OK.
