Virus Protection Plan

The problem will may and will happen so quickly that we can not get current virus definitions to stop it.  We will hear about it on the news first or from other computer vendors or other sources.   What follows is the step by step process to protect TriCor and others.

Step 1
1.  Access the severability,   if need be close down microsoft exchange.
2.  Determine what the virus looks like and call all offices and post a note at each desk with what to look for so if it comes don't open it.
3.  Create an auto delete function and have the computer managers at each location set it up so that if it comes it automatically goes to the deleted folder.
4.  Go to www.norton.com and go into their site and review the virus severability and how to fix it.
5.  Download the fixes and get the pcs updated by setting up a procedure and contacting
everyone
Update,  1  exchange server,     2 test the other servers and drives
Update,   each pc by contacting all locations computer support people.

Virus Update

The Virus you get will probably come from someone you know – so never rely on the sender as being someone safe to receive email from including fellow employees !!!

What did the latest virus do?

The software could not be written fast enough to protect against the Love Virus. Three PCs were damaged. Cheryl and all of you did an excellent job of stopping it right there.

That virus was spread multiple times to nearly 300 other users outside of TRICOR when those three PCs opened the attachment. This gives you an idea of how serious this can be.

Here is some help against the Next attack

Please read the subject line carefully. !!!!! If the subject is unique to the sender and could not be universally distributed then it is probably quite safe. You will most likely always know the sender of a virus, so never trust the source of the document, rely on the subject and determine if it is logical and if you are expecting it and if it is unique to what you need and are looking for..



Please incorporate, a personal message in the subject line of each internal and external message you send
so that the person receiving the message can have confidence that it is truly from you and not from a virus programmer disguising himself as you.

Examples of clear subject:
Proposal from your Accord app for Johnson Construction
Reply to your letter dated 4/4/00 concerning Sam Smith
Attached Rates for group quote on Sneed construction



What to do if the subject is not clear –
If there is no attachment, then don’t worry, open the email
If there is an attachment " Stop "
Look at the body of the email. Is there specific content that

assures you that this is exclusively written by the sender - if so – open attachment

Does the Body of the letter make sense. If it is brief – and not specific be cautious,
don’t open attachment.

If you have any doubts when looking at the body of the letter then don’t open the attachment.

Reply to the sender and ask if they had sent you this email and you are confirming that it

Is not a virus. Or call the sender and ask if they had sent you an email.

What are the best steps we can take to protect our systems.
1. Question if the subject & then body of the email is written by the sender and that it makes sense
before opening any attachment.

2. If you have a doubt, reply to or call the sender.

3. Update your virus protection software every 2 weeks and confirm that Norton is Live and

Functioning on your PC - Help in this area has been sent to you prior and will be sent soon
again.

I can’t figure out how to make a subject clear – what is a sure way of doing it.

Include who you are, and where you are from and what the email is about.
