Customer Code Format

As we all know our "Tam" (Applied)
data base continues to get harder to find our commercial clients in as
we grow and as each office uses different coding systems when adding
clients. Starting today, please use the following coding when adding new
clients, and send an e-mail to me when situations arise that don't fit
exactly or where you may think a slight modification might be in order.
Send to Sue e-mails on existing clients you want changed to adhere to
these new coding rules:
"Over-ride" Applied defaults : When you are ready to add a new client and type in the name, press "Preview" instead of "OK". This will allow you to over-ride the Applied system standard coding defaults. (They use the first (5) letters, -, and end with a number.) TRICOR's New Commercial Coding: Use the first (3) letters of the first name, the next two (2) letters of the second name, then a -, and end will a number. Examples: Richland Center Bus would be RICCE-1 Dubuque Ford would be DUBFO-1 Other Examples: Ada Davidson dba Ada's Tattoo Parlor would be ADATA-1 (not ADADA-1) * We should always go by the business name if they have one. * I would also like to have the business name on the first line as well, so the above would read: Ada's Tattoo Parlor Ada Davidson dba (ADATA-1) would be correct. * Say it was just "Ada Davidson's Tattoo's", then it would read ADADA-1 * What happens when you have over 9 with the same code? Example: United Church of Christ: the 1st. one would be UNICH-1 the 2nd. one would be UNICH-2 the 10th. one would be UNIC-10 Exceptions to the above rule: * What if there is no business name, and yet it's a business or farm client? Example: "Ada Davidson" would be DAVAD-1 * We thought it would work better to go last name first similar to personal lines clients only using the dash. * Schools, Cities, and Villages Example: City of Platteville would be PLACI-1 Village of Potosi would be POTVI-1 School District of Beloit would be BELSC-1 Lancaster Schools would be LANSC-1 * We thought it would be better to go with the name for the city first for easier reference. This is a start at getting our data base easier to use. Please watch
